Transparent AI Practices at ZenVisa
Purpose and Scope
This AI Usage & Disclosure Policy ("Policy") explains how ZenVisa International ("ZenVisa", "we", "us") uses artificial intelligence ("AI") technologies in providing our services. This Policy applies to all AI-powered features, tools, and systems used in the delivery of our immigration and visa consultancy services.
We are committed to transparent, responsible, and ethical AI use that complies with UAE law, international standards, and our professional obligations to clients.
Definitions
"AI": Artificial Intelligence: computer systems capable of performing tasks that typically require human intelligence.
"Generative AI": AI systems that create content including text, images, or summaries.
"LLM": Large Language Model: an AI system trained on text data to understand and generate human language.
"Automated Decision-Making": Decisions made by AI systems without meaningful human involvement.
AI Technologies We Use
ZenVisa currently uses AI technologies for: (a) Document review and preliminary analysis of client-submitted documents; (b) Chatbot and virtual assistant for initial client inquiries; (c) Internal process automation and workflow optimization; (d) Translation services for non-English documents; (e) Summarization of lengthy immigration regulations and guidance; (f) Pattern recognition in visa application data for internal analytics.
We do NOT use AI for: final visa application decisions; legal advice without human lawyer review; or Automated Decision-Making that affects client rights without human review.
Purpose of AI Use
AI is used at ZenVisa to: improve service efficiency and response times; reduce human error in document processing; provide 24/7 initial support through chatbot services; assist our legal team in research and analysis; and enhance the overall client experience. AI is always used as a tool to assist our human professionals, not to replace them.
Human Oversight
All AI-generated outputs are reviewed by qualified human professionals before being: communicated to clients as advice; submitted to government authorities; or relied upon for case strategy. Our licensed immigration consultants and legal professionals maintain full control over all client-facing decisions and advice. AI errors or anomalies are flagged and corrected by human reviewers.
Data Used for AI
The data processed by our AI systems may include: client documents and forms; communication transcripts; anonymized case data; and publicly available immigration regulations and guidance.
Personal data is processed in accordance with our Privacy Policy. We do not use client data to train third-party AI models without explicit consent. Where AI processing involves data transfers outside the UAE, such transfers comply with our Privacy Policy and applicable data protection laws.
Transparency and Disclosure
We disclose AI use to clients: (a) This Policy is publicly available on our website; (b) AI-generated communications are clearly labeled as such; (c) Clients are informed when their initial inquiry is handled by an AI chatbot; (d) Our Terms of Use incorporate this Policy by reference. Clients may request to opt out of AI-assisted processing at any time by contacting their case manager.
User Rights Regarding AI
Users have the following rights in relation to our AI systems: (a) Right to know whether AI is being used in their case processing; (b) Right to request human review of any AI-generated analysis; (c) Right to opt out of AI-assisted processing (subject to service limitations); (d) Right to explanation of AI outputs that affect their case; (e) Right to contest AI-generated recommendations; (f) Right to access personal data processed by AI systems.
Accuracy and Limitations
While we strive for accuracy, AI systems may: produce incorrect or incomplete analysis; misunderstand context-specific nuances; generate outdated information if training data is not current; and fail to interpret ambiguous documents correctly. Clients should always verify AI-generated information with their assigned human consultant. ZenVisa is not liable for errors in AI-generated preliminary outputs that are subsequently corrected by human review.
Bias and Fairness
ZenVisa is committed to preventing bias in our AI systems. We: regularly test AI outputs for discriminatory patterns; train AI systems on diverse datasets; monitor for disparities in service quality across client demographics; and engage third-party auditors to assess AI fairness. Any identified bias is promptly remediated.
Third-Party AI Providers
ZenVisa uses AI services provided by third-party vendors, which may include cloud-based AI platforms. These providers process data on our behalf under strict data processing agreements that require: data security measures; confidentiality obligations; compliance with applicable laws; and prohibition on using client data for their own purposes.
Intellectual Property
Outputs generated by ZenVisa's AI systems in the course of providing services to clients are the property of ZenVisa, subject to our standard service agreement. Clients receive a license to use such outputs for their intended immigration purposes. AI-generated content does not constitute legal advice until reviewed and approved by a licensed professional.
Confidentiality and AI
All data processed by AI systems is subject to the confidentiality obligations in our Terms of Use and Privacy Policy. AI systems are configured to: not retain client data beyond necessary processing periods; not share data across client accounts; and operate within secure, access-controlled environments.
Prohibited AI Uses
ZenVisa prohibits the use of AI for: creating fake documents or fraudulent submissions; generating misleading or deceptive content; surveillance of clients without consent; profiling that could lead to discrimination; or any use that violates UAE law or professional ethics.
Regulatory Compliance
Our AI practices comply with: UAE National Strategy for Artificial Intelligence 2031; UAE Personal Data Protection Law (PDPL); UAE Cybersecurity Law; RAKEZ technology use regulations; EU AI Act provisions where applicable to EU clients; and OECD AI Principles. We monitor regulatory developments and update our practices accordingly.
Changes to This Policy
This Policy is reviewed every 6 months or sooner if required by regulatory changes or significant updates to our AI systems. Material changes will be notified via email and posted on the website 30 days in advance.
